Hotel ancillary revenue comes from useful extras that guests choose in addition to accommodation. The strongest starting point is a real guest need and a delivery process the team can support. This guide helps you evaluate separately sold add-ons; it does not assume that every idea is available through PowerOTA or calculate the price of a bundled resort package.
Start with the guest’s situation
Think about the decisions a guest is already making: arrival transport, breakfast plans, luggage storage, a celebration or a local visit. An extra should solve a specific problem rather than add another sales message. Review common enquiries and operational feedback, using permitted records and avoiding assumptions about sensitive personal characteristics.
- Match an idea to an identifiable guest need.
- Choose an appropriate point in the journey to explain it.
- Make declining an optional extra straightforward.
Check fulfilment before promotion
Assign a delivery owner, cutoff and capacity rule. A transfer needs a confirmed transport process; a meal needs a team that can deliver it at the stated time. An early check-in offer needs actual room readiness, not only an empty reservation calendar. Clarify supplier responsibility, guest contact and what happens when fulfilment becomes unavailable.
- Define quantity and eligibility.
- Set the operational confirmation deadline.
- Document cancellation, substitution and refund handling through approved policies.
Make the offer and price understandable
Describe what is included and any limitation that matters to the guest. Show the relevant price basis, such as per person or per stay, and use the property’s approved tax and fee presentation. Do not preselect a paid optional service in a way that hides the guest’s choice. Check that the booking summary accurately reflects the selected extra.
- Use a short, specific name and description.
- Explain timing, meeting point or collection details where relevant.
- Avoid unsupported revenue-uplift claims when evaluating an idea.
Review actual delivery and guest feedback
Pilot a small number of offers and record uptake, delivery issues, staff effort and direct costs. An offer that sells but regularly creates service failures may need a new process or a lower capacity limit. Keep the review about separately purchased extras. If you want to combine accommodation and several services into one package, use a dedicated costing worksheet.
- Track completed delivery rather than only purchases.
- Review guest questions and complaints.
- Retire an offer when its operational promise cannot be met consistently.
Practical worksheet

Open the CSV in Excel, Google Sheets or another spreadsheet editor. Use fictional sample rows as examples and review the template before operational use.

| Add-on idea | Guest need | Delivery owner | Cost inputs | Capacity / cutoff | Fulfilment check |
|---|---|---|---|---|---|
| Breakfast | A convenient morning meal | Food and beverage | Food, labour, service | Meal count / booking cutoff | Guest count and service time confirmed |
| Transfer | Transport to the property | Transport desk | Supplier fee, waiting time | Vehicle availability | Pickup details and provider confirmed |
| Celebration setup | A prepared occasion | Guest services | Materials and staff time | Setup window | Approved contents and room access |
| Local experience | A planned activity | Experience provider | Supplier and transport costs | Slots / weather restrictions | Supplier booking confirmed |
Fictional example: a resort pilots a pre-arrival transfer offer. Guest services confirms pickup details, the transport desk confirms a vehicle, and the reservation record stores the delivery reference. The team reviews missed pickups and staff effort alongside sales. The process is an operational example, not a claim of native PowerOTA transport scheduling.
Put the guide into practice
Choose fewer extras that your team can deliver well. Verify the actual add-on setup, payment display and fulfilment information in your booking workflow before advertising a capability.
