A folio records activity associated with a guest stay. An invoice is a billing document issued through the property’s approved process. Teams should understand how charges, payments, adjustments and balances relate before treating either document as proof that everything is settled.
Read the folio as an activity record
Review charges and credits with their dates and references. A room charge, restaurant charge and deposit describe different events. Confirm whether amounts are posted, pending or reversed in your system. A running balance is only as reliable as the entries and the reporting cut-off.
- Check the reservation reference and stay dates.
- Match each charge to its supporting record.
- Identify payments separately from adjustments.
Check the invoice against the approved billing process
An invoice may summarise charges and other required billing information. Document names and functions vary between systems. Ask the finance team which document is issued to the guest, how corrections are handled and which fields apply to the property. Do not infer tax compliance from a sample layout.
- Confirm the correct recipient details through an authorised process.
- Verify that totals match the relevant approved charges.
- Use the finance-approved method for corrections.
Reconcile payments rather than assuming settlement
A payment entry may need comparison with the payment provider, bank or cash record. A requested refund is not the same as a completed refund. Check dates, references and amounts, and record unresolved differences for investigation.
- Distinguish deposits, payments and refunds.
- Avoid recording a refund twice.
- Record the owner of any unresolved balance.
Explain the balance clearly at departure
Review the guest-facing statement with the approved charges and payments. Explain outstanding items in plain language and escalate disputed charges to the authorised colleague. Share only documents the recipient is entitled to receive.
- Use a consistent reporting cut-off.
- Keep an audit trail of authorised corrections.
- Ask for a demonstration of actual folio and invoice workflows.
Practical worksheet

Open the CSV in Excel, Google Sheets or another spreadsheet editor. Use fictional sample rows as examples and review the template before operational use.
Original editable planning resource. Examples are fictional; adapt and review before operational use.
| Fictional entry | Charge | Payment | Running balance |
|---|---|---|---|
| Room charge | 10000 | 0 | 10000 |
| Breakfast | 1000 | 0 | 11000 |
| Deposit applied | 0 | 3000 | 8000 |
| Departure payment | 0 | 8000 | 0 |
Fictional, simplified example: charges total 11,000 and payments total 11,000, leaving zero outstanding. Taxes and jurisdiction-specific invoice requirements are deliberately not modelled. This is a reconciliation illustration, not a tax invoice or accounting certification.
Put the guide into practice
Use the folio to inspect activity and the approved invoice process to issue billing documents. Confirm settlement using the underlying payment evidence.
